Student Complaints and Reports

Have you experienced an issue related to a course unit, traineeship, practical activity, service or the organisation of your degree programme?

The Department of Veterinary Medicine provides two dedicated channels for students to submit complaints and reports and to ensure that they are handled through a clear and traceable process.

The Department aims to address issues raised by students and turn them into actions to improve teaching, services and organisation.

Here is the procedure to follow:

1) First, try to resolve the issue through the most appropriate direct channel

For routine issues, the first step is to contact the person or service most directly involved.

Depending on the situation, you can contact:

  • the lecturer;
  • your tutor;
  • the Academic Manager;
  • the Degree Programme Chair, supported by the Quality Assurance Group;
  • your student representatives, who can raise the issue within the Degree Programme Council or the Student-Staff Joint Teaching Committee;
  • the Degree Programme Council;
  • the Student-Staff Joint Teaching Committee;
  • the relevant service or office.

In many cases, these channels can help you find a solution quickly.

2) If the issue is not resolved: use the online forms

You can submit a complaint or report online if:

  • the issue has not been resolved through the usual channels;
  • the same issue occurs repeatedly;
  • the matter concerns an issue of general interest.

Two forms are available: one for named complaints and one for anonymous reports.

Named complaint

Use the named complaint form if you wish to report an issue, provide your name and receive a response.

Anonymous report

Use the anonymous report form if you wish to report an issue without providing your name.

Anonymous reports are assessed on the basis of the information provided and may also be considered in aggregate form to improve the quality of teaching, services and the Department’s organisation.

What happens after you submit a complaint or report

Once submitted, the complaint or report is recorded and assessed and, where relevant, handled in a manner appropriate to the nature of the issue raised.

Depending on the circumstances, your submission may result in:

  • a response;
  • corrective action;
  • a proposal for improvement;
  • referral to the relevant office or service.

The system includes six-monthly monitoring and an annual review, so that recurring issues can contribute to the Department’s continuous improvement.

3) When to use other institutional channels

These online forms do not replace the specific institutional procedures provided for access to administrative documents, disciplinary proceedings, health and safety matters, emergencies, discrimination, harassment, corruption, whistleblowing or other serious matters.
